SIGN & GO

ArchitectureSign and Go is a cloud-based signing application that can be controlled from anywhere on the internet and is used to manage all users’ mail signatures from a single location. Compatible with all versions of Outlook 2007 SP3 and above, it is suitable for use on Microsoft Windows-based systems, and Office 365 is an application that makes signature management easy via OWA. It consists of 2 main components:

  • Peakup Suite
  • Client App

PeakUp SuiteIt is the control center that synchronizes with the Office 365 and Azure infrastructures, enabling all management to be done via the web interface. From the moment you log in with a user who has “Admin” permissions on Office 365, it can be synchronized with all users, domains, and tenants that the admin user has access to. The following images can be used to understand the ease of construction. (Fig. 1.), (Fig. 2.), (Fig. 3.),

When the login is successfully completed, the necessary permissions must be given from the “Application Permissions” screen. 2 different permissions are required on this screen.

  1. Sign & Go API
  2. Sign & Go Client

Sign & Go APIThe API permission is the permissions that required to access the information for users on the Office 365 tenant for Sign & Go. The relevant user information is taken from Azure Active Directory and pasted on the signature template that is designed. After this process, who is logged in via the Client App, the signature template that contains the relevant information is sent to the user. (Fig. 4.)

Sign & Go Client

Client permission is required to allow the Client App to receive relevant information that determines which users will fill in the signature information that has been set up by the end user. (Fig. 4.)

Once we’ve gone through the authorization process, now we have real design and experience panels. The application is designed to send multiple signature designs to multiple groups and users. On the next screen, the screen of the signature designs will come up. You can display this screen in the (Fig. 5.).

The “Signature Labels” which allow you to not get the relevant user information on the (Fig.5.) come out. Under each of the tags, you can see what kind of information you have and which information you can add to the signature. You can quickly paste your signature using the black paper icons next to the labels. You also have the option to add the information that you do not have here, but you want to add your signature in JSON format, in the signature template.

Once you have decided which labels you will use (Fig. 6), you can create signatures and move on to completing your designs.

(Fig.7.), you can quickly duplicate your signature designs using this button. In short, you can create the same design to give your assignment for another user name and for another user group.

In (Fig. 8.) you can see the button in the visual field, in which you can perform the “Edit” operation of your respective settings using this button.

You can display the signature creation and designing section in (Fig. 10).

There are 2 signature design screens on the design screen. There are;

  1. HTML signature
  2. TXT (Plain) signature

HTML signatureIt is the most widely used signature format enriched with visuals and links. You can design signatures using the table structure in the signature editor, as well as add HTML signatures to your HTML designs by adding “HTML Source Code” as you can see visually (Fig.11.).

You can also add links like the images you created. (Fig.12.) You can refine your banner containing your website, social media accounts or corporate campaigns by adding “Link”, you can direct them to related fields.

TXT (Plain) signatureAlthough signatures in TXT format are not used very often, we can see this form in signatures from mobile devices. In the design section, you can only complete the relevant variable “Signature Labels” quickly by adding a TXT signature. (Fig. 13.), you can find a design in terms of being an example in the visual.

After complete the design process, you can click “Save” button on the upper right side to send all design and visuals to “AZURE Storage Account

Your signatures are securely stored on “Azure Datacenters” in the cloud and there is no size limit. Signature design and visual addition can be realized at the desired scale.

Multiple Signature Support(Fig. 14.), you can simply press the “red + button” on the design screen to create multiple signature designs, or you can duplicate your design using the button in (Fig. 7).

Grouping SupportIt is a feature that you can send to these groups different designs that you create on the signature design screen, which you can filter using department based, company based or existing users’ attribute. This feature is completely independent of your infrastructure and grouping is done on Sign & Go. Users from different Security Groups and Organizational Units can be grouped in this area to send the required signatures to them. (Fig.16)

            You can create new independent groups. For this you can use the “big red + button” in the image (Fig.16) After creating a group, you can create “Filters” after inputting information such as “Group Name”, “Group Description” on the screen where the opposite will appear (Fig.17), you can make various groupings by using “Include Users” or “do not include Users” properties.

When creating a group, it is possible to make multiple combinations using the variables on the panel. (Fig.18), it is possible to filter within the states of the image (Fig.19), depending on the user’s attributes you can see in the image.

After finishing the grouping process successfully, completing each setting, added filter, user and signature design, the addition process is completed with “+” button and finally the processes are completed with “Save” from the upper right part.

OWA (Outlook Web App) SignatureOffice 365 allows you to use your signature within the OWA application that you can access through the portal. (Fig. 20.) “in the visual field, it is advisable to enter a “Service Account” with “Global Administrator” privileges on Office 365.

Outlook App SignatureAlong with Sign & Go Client, Outlook allows you to use your signature in the desktop application. (Fig. 21.) This feature is turned off during in-house application deployment and opens after the deployment is over, enabling the entire company to use signatures at the same time.

If the “Show in taskbar” feature is enabled (Fig. 21), the application will appear in the start bar in end users. But if the related button is disabled, end users will not be able to see the application and you will be able to avoid the exit process from the optional application.

General Settings

  • When the default signature is set to “Optional” ( 23), the user that you add to the groups will only be able to use the signature of the group to which they are added.
  • When the default signature is set to “Optional” ( 23), the signature will be added to “Default signature ” as well as “Signatures from groups with attachment”.
  • “Default signature” and “Default Group“; Users who do not wish to benefit from the various signature templates that are not attached to any groupings will be able to benefit from the “Default signature” template for these rules after Sign & Go installation.

If there is no label that meets the required “signature labels” in the “user attribute” specified in the “JSON Enabled Feature” section, additional signatures can be added with the information specified in this section. (Fig. 23.)

Client ApplicationIn the PeakUp Suite interface, there are 2 Client applications, 32-bit and 64-bit, in the “Packages” tab. (Fig. 24.) These packages can be installed using various distribution methods, if desired, by sharing the website with end users. For non-domain users, there is also a “signngo.org” website where the packages are hosted. The “Status” tags on the Client Application allow the end users to control their login status.

  • The application is extremely compact with its small size and low system requirements.
  • The application requires .NET Framework 4.6.2 or above.

Installation of Client Application and SigningAfter the relevant application downloaded from PeakUp Suite interface is installed on the desired machine, “Restart” operation is required on the machine.

  • This process adds the application to applications running on Windows Startup.
  • After the Restart operation, the Sign & Go Client application will open automatically and ask the user for user information “1” time. (Single-Sign-On).
  • Once the Office 365 information has been entered, the application will not ask for further information and will recognize the user at every opening. (25), the application is working in the lower right part.
  • Finally, when checked through the Outlook application, the signatures or distributed signatures on the portal will be ready to use, filled with the relevant user’s information.

  • There are “Sign Out” and “Update Signature” buttons on the application.
  • You can instantly update the design changes in your computer with “Update Signature” button.
  • “Leave button” to stop signing. You also disable the “force” operation on the Outlook application.
  • “Force” operation; It restricts the user’s control over the signatures found in Outlook. Prevent changes to signature designs and default signature settings.
